360 Web Solutions for Muse GR · Inbox Concierge

Try an email.

This is how an assistant would handle info@musegr.com, inside the Gmail you already use. It sorts every email, writes replies for you to review, keeps one list of open inquiries, follows up when things go quiet, and sends you a summary each morning. It never books, cancels, or talks about money without you.

Pick an example below and watch where it goes. The emails and names are made up to show how it works.

What happened

    What you told us

For info@musegr.com, you asked for three things: an organized inbox, no email missed because the inbox is full, and faster replies. Your first questionnaire (challenges, what to delegate, autonomy, warm tone, Gmail / Skedda / Square / Squarespace) shaped every rule on this page. We will not ask those again.

    You saidSo the assistant
Back-and-forth with clientsAnswers the usual questions in one email, not three.
Not always able to respond quicklySends website inquiries an instant, friendly acknowledgement. Every other email gets a ready-to-send draft.
Closing the dealWrites a follow-up draft when a conversation goes quiet, so interested people are not forgotten.
Delegate answering, organizing, and to-dosSorts, drafts, and tracks. You review and send.
Routine work automatic, ask about unusual requestsSorts and drafts on its own. Anything unusual is flagged for you.
Offer times, but approve bookingsPoints rental customers to musegr.skedda.com/booking, where they already pick a time and pay. It never books anything itself, and tours and artist meetings wait for your reply.
Warm and friendlyWrites every draft in that voice, using only information you approved.

    One list of everything open

Every email that needs something becomes a row in a shared Google Sheet called Inquiries. Several emails in one conversation stay on one row. It is also the record of everything the assistant did.

    What always comes to you

These are labeled Needs you, sit at the top of the morning summary, and get no reply beyond the website acknowledgement.

It never replies on its own to

    • Complaints or unhappy customers
    • Billing or payment questions
    • Cancellations or rescheduling
    • Unusual requests
    • Important clients, from a list you give us

    And it never

    • Books, cancels, or changes anything in Skedda or your calendar
    • Changes an invoice, issues a refund, or discusses payment terms in Square
    • Sends anything except the approved website acknowledgement without you pressing Send

    Your Muse GR Guide

The assistant only uses information you approved. Before we build, we draft a one-page guide from your website and you correct it. You can update it any time, and drafts follow the latest version.

    • The Leonard Street space: capacity, layout, and what it is good for
    • Rental pricing or price ranges, deposits, and what is included
    • Hours, and how and when tours happen
    • How artists should reach out, and what happens next
    • Links to share: rental page, musegr.skedda.com/booking, gallery, events
    • Anything the assistant should never say

    How we roll it out

Nothing goes live until you have watched it work on your own email for a week.

    1. 1

      Discovery

      One short session

We review 10 to 20 real emails together, finish your Muse GR Guide, and agree on labels and the important-client list. We also measure how quickly you reply today, so we can show the change.

    2. 2

      Watch mode

      About a week

The assistant sorts and drafts but sends nothing. You tell us which drafts were good and which were not.

    3. 3

      Live

      Ongoing

The website acknowledgement turns on. Drafts, the Inquiries Sheet, follow-ups, and the morning summary run every day.

How we will know it works

We report these after watch mode and again after the first month.

    WhatHow we measure it
Nothing missedEvery inquiry in the test set appears on the Inquiries Sheet with a next step.
Faster first replyWebsite inquiries are acknowledged within minutes. Your first personal reply is compared to the baseline from discovery.
Organized inboxCorrect label on at least 9 out of 10 reviewed emails.
Fewer lost leadsCount of conversations followed up instead of going quiet.
SafeZero bookings, cancellations, or money messages sent without you.

Later, only if you want it

We add these once Phase 1 is working well.

    Phase 2: Tours and scheduling

    • Drafts suggest 2 or 3 open tour or artist-meeting times from your calendar.
    • After the customer picks a time and you confirm, the appointment goes on your calendar.

    Phase 3: Your other tools

    • Skedda: check your open times, so rental drafts can mention a few dates that are actually free. Read-only.
    • Square: show invoice status next to a billing question, if billing emails are frequent enough to be worth it.
    • A dashboard: only if the Inquiries Sheet becomes too small for how you work.

    Privacy, safety, and cost

    • The assistant runs inside Muse GR’s own Google account. Your email stays in your account and is not copied to a 360 Web server.
    • Email text is processed by Google’s Gemini on a paid plan. On the paid plan, Google does not use your content to improve its products.
    • Emails are treated as information, never as instructions. A message that says “ignore your rules” cannot change what the assistant is allowed to do.
    • No payment details are stored.
    • You can turn the assistant off at any time from the Inquiries Sheet menu.
    • Setup: Phase 1 is scoped and priced after discovery.
    • Running cost: expected to be a few dollars a month for the AI service at your email volume.
    • Hosting: none in Phase 1. There is no separate bill.
    • New apps to learn: none. You keep Gmail, Skedda, Square, and Squarespace exactly as they are.
